Senior Administrative Assistant

Primary Location: Phoenix, AZ
Additional Locations: AZ-Phoenix
The ideal candidate will provide administrative support to the Executive Director and the leadership team of Medicaid IT. In this role the candidate will assist in ensuring seamless communication, prompt response and follow up to correspondence and tracking open action items for timely completion. This is a fast-paced environment and requires a professional who has initiative, strong judgment and the ability to manage and keep in confidence sensitive information; in addition, they must be well-organized, efficient, and adaptable with a strong work ethic. The successful candidate will be expected to interact professionally with all levels of internal and external personnel via phone, in person, and via written correspondence. The chosen candidate will need to build and maintain a broad network of colleagues across Medicaid IT and Medicaid Business, with an understanding of who to contact to triage requests and coordinate meeting schedules. Support annual construction of operating budget, strategy and operating plan.

Fundamental Components:
Same components as the Administrative Assistant plus the following additional responsibilities:
  • Delegate for organization activities in UltiPro (i.e. HR changes, Time and Attendance etc.) .
  • Involved in HR activities for the unit including; job posting, recruiting, interview process, new hire installation, office setup, annual comp process, organization hierarchy.
  • Ability to understand organization budgets - monitors, tracks, and researches. Collects, compiles, and analyzes data and provides summaries and observations to manager.
  • May participate (or lead) in special projects.
  • Understands the work that goes into office facilities including space, furniture, equipment, building and telephone system maintenance.
  • Works closely with support staff for Medicaid IT.
  • Responsible for coordination of meeting agendas and minutes.
  • Accountable for follow-up on issues identified in meetings (e.g., staff assignments, etc.)
  • Communicates and/or coordinates manager's instructions and requests with various individuals and/or departments.
  • Responsible for follow-up.
  • Coordinates Mangers' outside personal, professional and civic obligations.
  • Prepares specialized reports, gathering, summarizing and analyzing data and developing recommendations for manager.

Background Experience:
  • 1-3 years administrative or technical support experience.
  • High school diploma or equivalent.
  • Associate's College degree (desired).
