About the role
We have a great opportunity for an experienced Office Coordinator/Receptionist to join our friendly team at modern offices based in St Paul’s, London.
You will be responsible for ensuring the smooth running of reception and the office, providing a smart, polite and friendly service to clients and the business.
This is a varied role which will see you involved in a wide range of activities, so the ability to roll your sleeves up and get stuck in, be highly organised are essential parts of the job.
Your typical day will include:
•Assist with business travel arrangements, visas and other supporting documents
•Book meeting rooms, organise lunches and desk allocations
•Organise office maintenance as and when required
•Receive visitors and answer phone calls
•Handle the reception desk and ensure the office space is kept clean and tidy
•Maintain vendor contracts
•Organise local, national and international couriers.
•Prepare Purchase Orders for office supplies, maintenance or contracts
•Support the Office Manager with regard to Health & Safety regulations and promote a safe and healthy working environment for all staff, contractors and members of the public who visit the office
•Monitor the timely payment of utility bills
•Manage general office expenses and taxi fares
•Ad hoc duties assigned by management
What you’ll need
•Previous experience within office facilities management and reception
•Excellent time management with an ability to finish tasks quickly and efficiently
•You will demonstrate a proactive nature with a desire to ‘go the extra mile’
•Able to work extended hours on occasion when required
•Previous experience as a Fire Marshal First Aid certification advantageous
•Fluent in written & spoken English
